How cancellations and refund conversations are handled
A general framework for how refund requests are assessed, depending on supplier terms, timing and the services already confirmed.
Supplier conditions matter
Refund outcomes often depend on the cancellation terms of lodges, camps, transport providers and other travel partners involved in the itinerary.
For that reason, refund conversations are assessed against the actual services reserved for each trip.
Timing affects flexibility
Earlier cancellations generally allow more room for amendments or partial recovery than last-minute changes, especially in high-demand seasons.
Travellers should contact BigFiveTrails as soon as a change becomes likely so the strongest possible solution can be explored.
Cancellation charges
More than 60 days before arrival: Deposit retained, or moved to new dates within 12 months.
59 to 30 days before arrival: 50% of the total trip price.
29 to 15 days before arrival: 75% of the total trip price.
Less than 15 days before arrival: 100% of the total trip price.
Park fees and flights already paid to third parties may be non-refundable. We strongly recommend travel insurance that covers cancellation.
Deposit and balance
30% deposit to confirm your booking.
Balance due 60 days before arrival.
Case-by-case communication
Because bespoke itineraries vary widely, refund and amendment discussions are handled directly and transparently rather than through a one-size-fits-all promise.
